Moving? Dont forget about your Communications!!

We have all had to move at one time or another, whether ourselves, a friend or relative. If you are helping it is not that bad, especially if they provide pizza and beer. And if you’re the guy that owns a truck you may get asked a lot! But if you are the one moving it can be a pretty stressful time. Now think about moving your business. Yeah, your desks, chairs, file cabinets and bookcases. And don’t forget you need to do a change of address and your subscriptions, etc…
But what about your business communications? The telephone that needs to ring to make you money and the computer that needs to connect to the internet so you can receive or place orders? Or the server and email that need to work so you can talk to the rest of the world? At your apartment if your cable does not show up for a few days you can get along without your TV, phone and internet, but how long can your office run without these services?
Moving your business needs to be well thought out and coordinated with the vendors that you depend upon for all your services. Without this, you will come to Move Day and find out your business is going to this new location, but you’re not going to be able to open the doors because your phone service or computer network did not make the move with you.

The most important thing is communications (really) and you have to talk to your phone and network vendor to let them know what is happening and your plans. They can advise you on what you need to do with your phone and internet carriers (CenturyLink, Charter or others in your area); Can they be moved? Do you need to find a new provider for the new location? How long will it take to move the service to the new location? …

Your vendor needs to look at the new office and be shown how you want things set up. They will look at the existing cabling and advise if you can reuse it or need new for the phones and computers. They will review the area you want to put your equipment: Do you have room for it? Will you be able to work on it there? Is there enough power for all the parts? Does it have proper ventilation?

Your Carrier will have a time frame for how long it will take to move your services (this might be a week or up to 90 days in some cases) They will need to determine if the new location has the proper feeds or cable to the building to move your services. They may need to schedule a construction project to install the correct entrance services to bring your circuits in. If you use different carriers for voice and internet you will need to engage them both. The construction could include some costs, but in most cases the carrier absorbs those costs unless the project is extensive. Your equipment or service vendor may offer to interface with the carrier on your behalf to help you with the move.

If your current carrier cannot provide services in the new location you may need to find a new provider who does service that location. This is also a good time to shop around to make sure you have the best service for your business at the best cost. You may need or want to move from DSL internet to a cable provider or switch to a dedicated circuit to serve your business. If your business has grown or changed, a good evaluation is worth it. Most equipment and service vendors will do this at no charge and help you understand what options are available and what might be beneficial to your business.

A lot of times communications are completely over looked with a new office or move and this can be a costly mistake. Thinking about these things ahead of time will save you a lot of headaches, time and money.
