Before each holiday or irregular business day that your office will be closed, follow this checklist to ensure your excellent customer service continues and your business remains safe throughout the closure.
By completing these items, you alleviate any concerns that may arise during your closure. This also ensures your business continues providing transparency to your customers. No misunderstandings.
Voicemail
Personal
Set your personal mailbox greeting to reflect when you will return their call.
Auto Attendant
Confirm your greeting is set for each day you are closed to play the “holiday” or “closed” greeting. Check your on-call option is working properly, when applicable.
For some telephone systems, your technology partner will need to manage your “holiday” schedule.
Personal
Set your personal email out of office message to reflect when you will return and if it is an emergency who they can reach.
General/Group
If you have a main email that customers use, set the email out of office message to reflect when you will return and if it is an emergency who they can reach.
Deliveries
Confirm any expected deliveries will not be left at your door or unattended. Reschedule if necessary.
Lights & Locks
Leave some lights on for safety, but turn off any unnecessary ones before leaving. Test that all main doors are locked, as well as any server or file rooms holding sensitive equipment or information.
Restart Equipment
Use the time away with no employees working to restart equipment such as computers, laptops, etc. Restarts are necessary to keep updates installed and the machines running smoothly.
Contact your technology partner before restarting any equipment to ensure it is done properly.
